Importing data
There are three ways to get your existing data into Stockroom: a generic CSV import, a guided Square migration, and a Shopify catalog import if you already sell online.
CSV import
Upload a spreadsheet of products under Inventory → Import. Each row creates a product with a costed default variant. Provide at least a name and SKU; include a price and starting quantity to have Stockroom post an initial count for you.
Tip: you can re-run imports as you clean up your data. Matching rows update in place.
Square migration
If you're moving from Square, use the migration wizard at Inventory → Import → Square. It runs in three ordered steps because each depends on the last:
- Customers: deduplicated by email.
- Catalog: items become products, variations become variants, and on hand becomes an initial count.
- Sales: historical orders import as completed sales.
Why historical sales don't move stock
Your exported Square on hand already reflects past sales. If we re-posted those sales as stock movements, we'd subtract them twice. So historical sales import without stock movements. They still feed reports (via the captured cost at sale time), but they don't touch your current on hand.
Same-name collisions
Two rows can share a name but be genuinely different items (different Square tokens). The wizard flags these and lets you merge them as variants of one product or import them separately (the default). Derived SKUs are disambiguated automatically.
Shopify catalog import
If you already sell on Shopify, connect the store and run the catalog import once to bring your existing products and variants over as costed products, rather than re-keying them.
Products are matched first by the link Stockroom stores against them and then by SKU, so a second run updates what it already found instead of creating duplicates. Re-running is safe. From then on Stockroom is the source of truth and pushes changes out to the storefront.

Head to Inventory & the ledger to verify quantities, then connect Square for ongoing two-way sync or Shopify to sell online from the same stock.
