Getting started
Welcome to Stockroom. This guide takes you from an empty account to a running back office in a few minutes. You don't need to configure everything up front. Start simple and turn on more as you grow.
1. Create your workspace
Sign up with your email and a password. The first account in an organization is the owner, who has full access to every area. You can invite the rest of your team later.
No credit card is required to start. You begin on the Free plan and can upgrade any time.
2. Bring in your data
You have two paths:
- CSV import: upload a spreadsheet of products. Each row becomes a product with a costed default variant, ready to receive and sell.
- Square migration: if you're coming from Square, run the migration wizard. It walks you through Customers → Catalog → Sales in order, flags same-name collisions, and imports historical sales as completed orders without re-posting stock (so your on hand isn't double counted).
See Importing data for the details of each path.
3. Set up locations
Every organization has at least one location. If you run more than one store or warehouse, add them under Settings → Locations, choose a default, and give each location the ordered list of warehouses it can pull transfers from. A location switcher appears in the header once you have more than one.
4. Add your team
Invite teammates by email, or add internal staff who sign in with an employee ID and a temporary password, no email needed. Assign each person a role per location. See Roles & permissions.
5. Record your first movement
Stock only ever changes through a movement. To get initial quantities on the shelf, use a stock adjustment (or receive a purchase order). From there:
- Create a purchase order and receive it. Stock goes up and weighted-average cost updates.
- Create a sales order and fulfill it. Stock goes down and COGS is captured at sale time.
- Watch the dashboard: orders to fulfill, POs to receive, low stock and audit reminders all update live.
Where to go next
- Core concepts: the ledger, variants and costing model.
- Inventory & the ledger: how stock and cost are tracked.
- Square integration: connect for two-way live sync.
