Getting started

What is Stockroom?
Stockroom is inventory management and sales software for small businesses. It runs your whole back office: a costed stock ledger, purchasing and receiving, sales with margin and payments, multi-location transfers, barcode scanning, cycle-count audits and reports, plus an optional two-way Square integration.
How long does it take to get set up?
Most shops are live the same day. Import a CSV of your products (or migrate your Square catalog), and you can start recording stock movements and sales immediately. No implementation project required.
Can I import my existing data?
Yes. Import products via CSV, or use the Square migration wizard to bring in customers, catalog and historical sales. Historical Square sales import as completed orders without re-posting stock, so your on hand isn't double-counted.
Do you offer training or onboarding?
The docs and in-app flows are designed to be self-serve. Business and Enterprise plans include hands-on onboarding, and Enterprise adds white-glove migration.

Integrations

Do I have to use Square?
No. Square is entirely optional and additive. Stockroom is a complete system on its own; connecting Square just lets you keep selling on Square hardware while Stockroom owns your inventory truth.
Will connecting Square change my data?
Only in the direction you choose. Each area (catalog, customers, inventory) has its own pull/push setting. Inventory defaults to push. Stockroom owns your multi-location counts and mirrors them to Square, so Square's single-location counts never overwrite your truth unless you explicitly opt in.
Can I take card payments on my Square reader?
Yes. Pair your Square card readers in Settings → Integrations, then ring up a sale in Stockroom and send it to a reader. The customer taps, inserts or swipes, and Square processes the payment at your usual Square rates. We never resell or re-bill payments. The card payment reconciles back to the order automatically, and when it covers the full balance the order is fulfilled. It's optional: with no reader paired, you record payment and fulfill manually as usual.
Can I move off Square entirely?
Absolutely. That's a core use case. Migrate your catalog, customers and sales history, and run Stockroom standalone. You can disconnect Square at any time.
Can I run Square and Shopify at the same time?
Yes. They are entirely separate integrations and neither one needs the other: run both, one, or neither. The only place they meet is stock. If you mirror stock to Shopify, Stockroom has to be the system that owns your counts, so turning the mirror on switches Square's inventory sync to push (Stockroom to Square) and won't let you switch it back while the mirror is running. Otherwise a web sale would be undone the next time Square's counts were pulled in.
Which system owns my stock?
Stockroom. Both integrations are built around that: Square's inventory area defaults to push, so your multi-location counts flow out to Square rather than Square's single-location counts flowing in, and Shopify has no pull-inventory mode at all by design. A storefront only knows what you tell it, so letting it write back to your ledger would be a guess.
Does Shopify stock sync per location?
Stockroom pushes a single availability figure built from the locations you map, minus anything reserved and minus your hold-back. That figure lives at one Shopify location and the others are set to zero, so the total Shopify sells against always equals your real availability. Square is different: it genuinely syncs per location, because Square counts are per location on both sides.
Do I have to re-enter my Shopify catalog?
No. If you already sell on Shopify, import your existing catalog once and Stockroom matches the products up rather than creating duplicates: first by the link it stores, then by SKU. Running the import again is safe. From then on Stockroom is the source of truth and pushes changes out to the storefront.
What happens when a web order arrives?
It lands in Stockroom as a real, confirmed but unfulfilled sales order, so it reserves stock immediately and the storefront stops selling those units. You pick, pack and fulfil it exactly like a counter sale, and Shopify emails your customer. Add a carrier and tracking number, before or after fulfilling, and that goes into the email too. On Growth and above, an order you're short on ships what you have and the rest becomes a tracked backorder.
What about barcode scanners and label printers?
Any plug-and-play USB barcode scanner works out of the box. Print label sheets to any standard printer. Barcodes are generated in-app, no extra software.

Data & security

Who owns my data?
You do. Export any list or report to CSV at any time. Your catalog, ledger and customers are yours to take with you.
Is my workspace isolated from other businesses?
Yes. Stockroom is multi-tenant with strict per-organization scoping. Every record is bound to your organization, and access is gated by role and location.
Can I control what my staff can see and do?
Granularly. Every area can be set to none, view or manage, per custom role, and roles are assigned per location. Sensitive actions like discounts require an authorized override code that's recorded for compliance.

Plans & billing

Will I be double-charged if I already use Square?
No. Payment processing and point-of-sale always stay with Square. We never resell or re-bill payments. You pay Stockroom only for the inventory and back-office software; Square keeps handling checkout.
How does per-location pricing work?
Paid plans are billed per active selling/stocking location per month. One storefront is one location. The Free plan includes a single location; Enterprise includes volume discounts for many locations.
Do I need Square or Shopify to use Stockroom?
Neither. Square and Shopify are separate optional integrations, and neither one needs the other. Run both, one, or none: Stockroom is a complete back office on its own, and you can import a CSV and run everything without connecting anything.
Can I sell in a shop and on Shopify from the same stock?
Yes, and that is the point of connecting it. You choose which products sell online and how many units to hold back for walk-in customers. Sell one at the counter and the storefront knows the same minute, so the last one on the shelf can't be sold twice. Online orders arrive in Stockroom to pick and pack, and your customer gets their tracking email when you fulfil them.
Is the Shopify integration included in my plan?
Live Shopify sync is included from Starter up, the same tier as the Square sync. They are separate integrations on the same tier: having one never requires the other. The one-time Square CSV migration is included on every plan, including Free.
What counts as a 'user'?
Any teammate with their own login. Internal staff can sign in with an employee ID (no email required). Owners always have full access and don't count against staff limits.
Can I change plans or cancel anytime?
Yes. Upgrade, downgrade or cancel whenever you like. Changes take effect on your next billing cycle and your data stays intact if you move down a tier.
Is there a free trial of the paid plans?
Yes, every paid tier starts with a free trial, no credit card required. If you do nothing, you simply stay on the Free plan.
