When to move off Square for inventory (and what you gain)

Square is great at checkout, but its inventory tops out fast. Here's how to tell you've outgrown it, and the back-office depth you unlock by switching.

Square is a fantastic way to take payments. It's fast, the hardware is everywhere, and for a single counter it just works. But the moment your business gets more complex than "scan, tap, done," Square's inventory starts to creak.

Signs you've outgrown Square's inventory

  • You don't know your true margin. Square tracks what sold, but not what it cost you over time as supplier prices moved. Without weighted-average costing, your profit numbers are guesses.
  • You have more than one location. Square treats counts per location, but moving stock between stores, reordering per location, and seeing true network-wide availability is painful or impossible.
  • You reorder from a gut feel. Static minimums cause both stockouts and dead stock. You want reorder points driven by actual sales velocity.
  • You're promising stock you don't have. Without reservations, confirmed orders don't reduce available-to-promise, so you oversell.
  • Audits are a yearly fire drill. Counting once a year and hoping is not shrink control.

If two or more of these sting, you've outgrown Square as a system of record for inventory, even if you still love it for checkout.

You don't have to leave Square to fix this

Here's the part most "Square alternative" pitches get wrong: it's not either/or. Keep Square for what it's best at, payments and point of sale, and put a real inventory back office behind it.

That's how Stockroom works. Connect Square and choose a direction per area: pull your catalog and customers, and let Stockroom own inventory and mirror counts back to Square. Sales made on Square devices flow in automatically. You get the depth without disrupting your register.

What you gain

Switching your inventory truth to a purpose-built system unlocks:

  • A costed ledger with live weighted-average cost and true COGS.
  • Multi-location on-hand with a proper transfer workflow.
  • Reservations and backorders so you never oversell.
  • Demand-based reordering and landed cost for smarter buying.
  • Cycle-count audits with live variance metrics.
  • Lot/expiry tracking, rentals, and a tax packet for your accountant.

And no double-charge for payments

Payment processing and point of sale always stay with Square. Stockroom never resells or re-bills payments. You pay us only for the inventory and back-office software, and a two-way sync keeps your catalog, stock and sales in step with Square.

The takeaway: outgrowing Square's inventory isn't a reason to rip out a register you like. It's a reason to give it a back office worthy of your business.
